Overview
Custom forms give you flexibility in creating online data sheets and questionnaires and the power to decide who can access the forms you create. A custom form can contain all kinds of data fields that can be used to create customizable reports or data sheets.
Another great advantage that you have with custom forms in Birdview is that you can share them using a public URL. Also, you can embed a form into your own site using an HTML code that is supplied with any form automatically. Once the form is embedded it can be used by any visitor coming to your site. It could be a survey, or a vote, or anything. Yet another big plus is that once a custom form is created you can easily convert it to a Birdview project or activity.
The main benefits of customs forms are as follows:
- creation of data sheets, questionnaires, and online forms,
- easy conversion to projects,
- easy conversion to tasks, issues, or requests,
- embedding a form into your website,
- sharing a form via a public URL,
- collection and analysis of feedback using online forms,
- and many more.
Adding a custom form
Note
This action requires that you have the "Add custom forms" permission enabled in your access level.
To add a custom form, use the following steps:
- Open the space you wish to add a custom form in.
- Click Custom forms on the Space main menu.
- Click + Add custom form.
- Type a name for the custom form in the top text field.
- Type a brief description of the form.
- Add questions to the form either by clicking on them or using the drag-n-drop functionality.
- To change the position of an element, use or on its block.
- If needed, edit any element by clicking on it.
- If an element needs to be deleted, use in the top right corner of its block.
- Click Preview to see how the form looks like.
- To save the form, click Save changes.
Custom form statuses
Note
You need to have the "Manage all custom forms" global permission or be included in the list of users of a custom form with the permission "Manage this custom form and its records" to perform the actions below.
- Active forms are forms that are ready to be used for adding records to them.
- Draft forms are in the process of being created, e.g. their layout is still being worked on, and thus are not available for adding records.
To make a draft form active, proceed as follows:
- Go to Custom forms.
- Locate the form you want to make active and click Edit.
- As the editing screen opens, click the Active button at the top.
- Click Save changes.
Duplicating a custom form
Note
This action requires that you have permission to edit the custom form in your custom form permissions.
To duplicate a custom form, use the following steps:
- Open the space you wish to add a custom form in.
- Click Custom forms on the Space main menu.
- Click Edit form on the plaque of the custom form you wish to duplicate.
- At the top of the form editing screen, click Duplicate this form.
The following things will happen after that:-
- A name of the format "<<Current form name>> - Copy" will be substituted in the name field.
- The form will be automatically saved as a draft.

Note
If you accidentally exit the page now, you can find the duplicate on the Drafts tab on the Custom Forms screen.
Archiving a custom form
To get rid of the forms that you do not need currently or any longer and that only clutter your screen needlessly, you can use either archive or delete functions. The main difference is that archived forms can be recovered, while deleted cannot. View the archive feature as deleting to a recycle bin.
To archive a custom form follow these steps:
- Go to Custom forms.
- Go to the Active tab to view the active forms, or to the Draft tab to view draft forms.
- Click Edit on the form you want to archive.
- As the editing screen opens, click Archive at the top.
Note
The "Archive" button will transform to "Restore into draft".
Deleting a custom form
Forms you no longer need can be deleted irrevocably.
To delete a form follow these steps:
- Go to Custom forms.
- Go to the Active tab to view the active forms, or to the Draft tab to view draft forms.
- Click Edit on the form you want to delete.
- As the editing screen opens, click Delete at the top.

Deleted forms cannot be recovered.
