Overview
You can post and exchange messages with your fellow team members within an activity. Messages associated with an activity can be viewed on its details page (Messages, Files, Audit trail section), or My assignments page. You can always check out how many messages have been posted for an activity in total, as well as see how many new messages have been posted at a given moment, if any, in the Activity center.
Warning
To be able to view your messages, the people you want to view them must have appropriate viewing permissions enabled in their access levels. Too, notifications are sent for activities of any status, Except if the activity is in a project with an equal to completed status.
To view messages posted for an activity, take these steps:
- On activity details page access the Messages, Files, Audit trail panel.
- Select the Messages checkbox.
- As a result, all messages posted for the activity will be displayed as a log of messages, uploaded files and audit trail items.
- New items, posted by other users and not yet viewed, are marked with light-purple circles. The counter of unread items is also displayed next to the Messages checkbox.
Posting messages in activity details
- Go to the Activity center.
- Locate the activity you want to post a message for.
- Hover over the name of the activity.
- Click Details.
- In the Activity details screen, select the Messages checkbox beneath the Primary fields and Custom fields sections if not already selected.
- As a result, all message posted for the activity will appear on the general log of messages, uploaded files and events.
- Type your message in the message box.
- Click the paper clip button
to attach a file to the message.
- Click the "Post" button
to post the message.
Posting via My assignments
To post a message via My assignments:
- Access My assignments via the button
on the top toolbar.
- Click the name of an activity you want to post a message for.
- As the activity details panel opens on the right, proceed as in the section "Posting messages in activity details" above.
Posting messages by email
As you receive a notification by email about the posting of a message for an activity and decide you would like to reply to it, proceed as follows:
- Click the "Reply" button for the message in your email client or browser.
- Type the text of the message to be posted in the body of the letter.
- Send the message the usual way.
Warning
While you can reply from any notification email you get, make sure that you reply to the correct project and activity.
Warning
Users can post messages by email even to activities they are not assigned to, as long as they receive a notification (like if the project manager chooses to manually send the user a notification) and they are project members.

Posting messages by email only works with single notifications. Notification digests are not supported.

Attachments are currently not supported. The text of any posted-by-email message with an attachment will still be posted, but the attachments won’t be included.Warning
By default this feature is only available for customers running on the Birdview servers. For self-hosted customers interested in this feature, please contact us for a quote to implement this on your servers.
Editing/deleting messages
You can edit or delete a message if you:
- have posted the message; or
- have the permission to edit or delete the activity the message is attached to.
- Access the Messages, Files, Audit trail panel for the respective project or activity by one of the available methods, e.g., via Activity center, or the details page.
- Hover over the message you would like to edit or delete.
- Click
on the right of the message row.
- Select Edit or Delete.
Adding reactions to messages
You can add a reaction (emoji) to a posted message:
- Click the reaction button
under the posted message.
- Select an emoji.
- Repeat the procedure to add another one.
Note
The number of emojis that can be added to a message is unlimited.
