Users rate history
Birdview keeps a log of user rates with the effect that every time you change a personal billing rate, the pastime entries are not recalculated with the new rate but rather use the rate that applied at the time of entry. A new rate you add is appended to the log with the date of addition recorded along with its numeric value so that it applies from that time forward until a subsequent rate is added.
In this article
To access the rate history:
- Go to Company settings > Users.
- Click a user to access its profile.
- Click More actions .
- Select Rate history.
The rate history screen consists of these elements:
- Billing rate (the rate used for billing purposes),
- Internal rate (the rate used for payroll purposes), and
- Date of change (the date a rate was added).
The only editing operation available for rate history is deletion of entries. If you clear up the rate history the current user rate will be applied to all time entries made for or by the user, both past and future.
To delete a rate from rate history:
- Access rate history (see above).
- Click the dustbin button next to a past entry (the current rate cannot be deleted).
- Confirm the deletion.
Warning
The deletion cannot be undone.
Inactivating users
There may be reasons for you to inactivate some users of the system without actually deleting them, i.e. removing from the system irrevocably. By inactivating Birdview users, who you do not want to be active anymore for some reason, you are able to make one or more user licenses available for adding new users, thus saving money.
To inactivate a user, please follow these steps:
- Login as Administrator (or a user who has the "Manage system settings" permission).
- Go to Company Settings > Users.
- From the list of available users in the bottom pane, select the user you wish to inactivate. This will open the user details section on the right side of the screen.
- Change status to Inactive at the top of the section.
- Changes are saved automatically.
Warning
If there is a single Administrator-role user in the system, it cannot be inactivated.
Warning
The user under whose credentials you are logged in cannot be inactivated, i.e. you cannot inactivate yourself.
Warning
If a user is the only project manager of a project, it cannot be inactivated until another project manager is added to the project.
Tip
Inactive users are shown in the user list and reports by the following icon .
Deleting users
As you get projects completed or make adjustments to project teams, you may need to delete a user.
Due to data/database integrity issues, Birdview may not allow you to delete a user if any of the following situations exists, with the user you want to delete.
A user cannot be deleted if one or more of the following is true:
- The user is a member of at least one project or portfolio.
- The user has added his or her time entries in the time log.
- The user has created at least one project, activity or event.
- The user is assigned to at least one event.
- There is at least one data record with the user in the name column in the audit trail log of a project or activity.
Note
In any of these situations, you will need to disable the user, instead - this is essentially the same thing - it frees up a license and removes the user as being available for any new work.
To delete a user, follow these steps:
- Go to Company settings > Users.
- There are two ways to delete a user:
- Click anywhere in the row the user belongs to, except for on her name. A two item menu will pop up. Select Delete this user.
- Click on the user’s display name. This will open the User details screen in a new window. Click the Delete button in the upper right corner.
