Company settings - Guests

Overview

Guests can interact with the system only via the Guest portal and are created on the Guests tab on the Users screen.

 

Warning

Guest access level is preset and cannot be edited or changed to any other. If you need a user with other permissions than those available to guests, consider converting a guest to a regular user.

 

Adding guests

To create a guest, follow these steps:

  1. Log in as an Administrator (or a user who has the "Manage system settings" permission).
  2. Navigate to Company settings > Users.
  3. Click the Guests tab.
  4. Click + Add user button. This will open an "Invite a user" dialog. Fill in all the required fields.
  5. Click Invite a user. This will send an invitation letter with a link to login to a guest, and create a record of a guest on the Users screen.

 

Note

The number of guest users included varies depending on your Birdview plan. Please refer to the pricing page for more details.

 

Tip

Guests can only be added to portfolios as a portfolio participant (access level).

 

Importing guests

For importing guests, refer to Importing users.

The user can be emailed a welcome letter with either an automatically generated password (if you have not set it for them manually), or the one you have set for the user. This requires the notification system to be enabled.

When importing guest users, use the same procedure as explained in the respective topic (see above). The .csv file used for the import should be changed so that the user access level field has "Guest" as its value for users imported as guest users.

Extra options & features 

To access the extra options and features:

  1. Click at the top of the details section of a guest user.
Option Description
Assigned activities This feature takes you to the Activity center where an appropriate filter is applied to show all the activities to which a guest is assigned.

Convert to a regular user

You can convert a guest to a regular user, providing you have available seats in your license.

  1. Click at the top of the details section of a guest.
  2. Select Convert to regular user.
  3. In the dialog box that opens, specify the role you want the guest to be converted to.
  4. Click Convert.
Security log This menu item allows you to access the log of time-stamped password-related operations initiated by a guest.
Generate & email password This feature allows you to generate a new password and email it to a guest.
Change password This feature allows you to change a guest's password manually.
Delete This option allows you to delete a guest.
