Q. How can a Time Tracker use Time Logs History to check out his/her own time entries as well as export them to Excel (CSV)?
A. In addition to logging time, a time tracker can browse a history of his/her own time logs. Below is a brief account of the structure of the Time Logs History tab and actions available to a time tracker.
Columns
Time Logs History screen consists of a toolbar with some useful controls, such as Columns, Filters, Export, time log statistics and a tabular grid comprising columns and rows. Some columns are permanent, such as User, Date, Duration, and optional ones, such as Description. The columns can be moved around and their width changed by drag-n-drop. The optional columns can be shown or hidden.
Filters
The filters are used for sorting out time logs for your convenience. For example, you can use the time logs entered by a specific user, within a select period, billed or approved ones. An additional bonus is some types of custom fields can be used as filters.
To manage filters, the Filters button in the toolbar is used.
Tip
If you see a number next to the Filters button, e.g. , this means that 2 filters are currently applied.
Tip
It is good practice to clear all filters before starting to browse to avoid interference. Click at the top of the filter panel to clear all filters currently applied.
Tip
If you a regular user of Time Logs History, it is good to remember that your last selection of both columns and filters is memorized for convenience.
Browsing time logs
The steps include:
- Click through Time Logs > Time Logs History.
- To have a complete picture, make sure all columns you need to see are visible by going to Columns and toggling on (
) appropriate items on the column list.
- Click Filters.
- The Filters panel will have the most commonly used filters. If an additional filter is required, click
at the top of the panel. Toggle on the filter you require on the list.
- To filter time logs by date of entry, select a date range in the Range filter. A range can be a preset value, e.g. This month, or you can select any period between two dates by selecting the bottom option, i.e. Filter by period.
Tip
As a time tracker, you may normally view only your own time logs. Accordingly, please make sure you either leave the Users filter cleared, or select only yourself on the list of users attached to the filter.
- In view of the tip above, leave the Users filter empty or select only yourself on the list of filter values.
- Proceed with selecting filters according to your needs.
- To cancel an individual active filter, click
on the right.
Export to Excel (CSV)
You can export time log-related data to a CSV (comma separated values) file which can then opened in Excel for formatting.
Important
The way the export works only data currently displayed is exported. Keep this in mind when planning export.
The steps include:
- Use the Columns and Filters buttons to bring up all time logs and associated data that you want on the screen.
- Click Export.
- Select Export to CSV.
- Find the exported file in the default downloads folder of your browser.
